This Privacy Policy describes how BetterCallAlex, a product of Salt City Labs LLC (“BetterCallAlex,” “we,” “us,” or “our”), collects, uses, and shares information when you use our AI phone receptionist platform at bettercallalex.ai (the “Service”).

By using the Service, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

Information you provide directly

  • Account information: Your name, email address, phone number, business name, and business details when you create an account or set up an AI receptionist.
  • Payment information: Billing details and payment method information processed through our payment provider, Stripe. We do not store full credit card numbers on our servers.
  • Business configuration: Information about your business that you provide to configure your AI receptionist, including services offered, hours of operation, FAQ responses, and integration credentials for connected services (such as Calendly or Square).
  • SMS notification preferences: If you enable SMS notifications, we collect the mobile phone number you provide and your notification preferences.

Information collected automatically

  • Call data: When your AI receptionist handles a call, we collect and process the call audio, transcript, caller phone number, call duration, and metadata about the call (outcome, sentiment, topics discussed). This data is necessary to operate the Service and provide you with call summaries and analytics.
  • Usage data: Information about how you interact with our dashboard, including pages visited, features used, and timestamps.
  • Device and log data: IP address, browser type, operating system, and access timestamps when you use the dashboard.

Information from third parties

If you connect third-party integrations (Calendly, Square, etc.), we receive information from those services as authorized by you, including service catalogs, availability data, and customer records relevant to handling calls and bookings.

2. How We Use Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Set up and operate AI receptionists on your behalf
  • Generate call summaries, analytics, and account notifications
  • Process payments and manage subscriptions
  • Send service-related communications, including the SMS notifications you have opted into
  • Improve and develop new features
  • Detect, prevent, and address fraud, abuse, and security issues
  • Comply with legal obligations

3. How We Share Information

We do not sell your personal information. We share information only as described below:

Service providers

We use third-party service providers to operate the Service. These providers process information on our behalf and are contractually required to protect it:

  • Telnyx LLC — telephony infrastructure, AI voice processing, and SMS delivery
  • Anthropic, PBC — large language model processing for prompt generation and call analysis
  • OpenAI, L.L.C. — large language model processing for the runtime voice agent
  • Supabase, Inc. — database hosting and authentication
  • Stripe, Inc. — payment processing
  • Resend, Inc. — transactional email delivery
  • Cloudflare, Inc. — content delivery and security
  • DigitalOcean LLC — hosting infrastructure

Connected integrations

When you authorize a third-party integration (such as Calendly or Square), we share information with that service as needed to provide the integration's functionality, in accordance with the permissions you grant.

Legal requirements

We may disclose information if required by law, subpoena, or legal process, or to protect our rights, property, safety, or those of our users or others.

Business transfers

If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.

4. SMS Communications

When you opt in to SMS notifications through your account settings, BetterCallAlex collects and processes your mobile phone number for the purpose of sending account-related messages, including service updates, trial and billing notifications, and call summaries from your AI receptionist.

We use Telnyx LLC as our messaging service provider; your phone number and message content are transmitted through their network to deliver SMS messages.

We do not sell, rent, or share your mobile phone number with third parties for marketing purposes. Your phone number is used only for the notifications you have opted in to receive.

You may opt out at any time by replying STOP to any message, or by disabling SMS notifications in your account settings. Standard message and data rates from your mobile carrier may apply.

5. Call Recording and Caller Information

When your AI receptionist handles a call, the call is recorded and transcribed for the purpose of providing you with summaries, analytics, and ongoing service quality. This applies to calls placed by third parties to your AI receptionist's phone number.

If you operate in a jurisdiction that requires two-party consent for call recording, you are responsible for ensuring callers are notified that the call is being recorded. We provide tools to support this notification through your AI receptionist's greeting.

Caller phone numbers and call content are stored as part of your account's call history and used to provide caller recognition features (e.g., recognizing returning callers).

6. Data Retention

We retain account information for as long as your account is active. After account deletion, we retain certain information as required for legitimate business purposes, including:

  • Billing records (for tax and accounting compliance, typically 7 years)
  • Call records and transcripts (typically 12 months after deletion, then anonymized or deleted)
  • SMS opt-in records (for compliance with TCPA, typically 4 years)

7. Data Security

We implement reasonable technical and organizational measures to protect your information, including encryption in transit (TLS) and at rest, access controls, and security monitoring. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have rights regarding your personal information, including:

  • Access to the information we hold about you
  • Correction of inaccurate information
  • Deletion of your information
  • Objection to or restriction of certain processing
  • Data portability

9. Children's Privacy

10. International Users

The Service is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Service, you consent to this transfer.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top. For material changes, we will provide notice through the Service or by email. Your continued use of the Service after changes constitutes acceptance of the updated policy.
